Cách viết email bằng tiếng Anh chi tiết nhất: cấu trúc, mẫu thư thông dụng

• Nếu bạn đã biết tên người nhận:

Cấu trúc: Dear + title (danh xưng) + surname (họ),

Ex: Dear Mrs. Hoang, Dear Mr. Brown, Dear Ms. Nguyen,

• Nếu mối quan hệ gần gũi, bạn dùng first name (tên)

Ex: Hi Kelly, Dear Kelly….

• Trong trường hợp trang trọng hơn, hoặc khi bạn chưa biết thông tin người nhận:

“To whom it may concern” hoặc “Dear Sir/Madam”

2. Opening comment - Hỏi thăm

a/ Hỏi sức khỏe (thân mật) How are you? How are you doing? How are things? How have you been? (Anh khỏe không, anh dạo này thế nào?)

b/ Hỏi thăm (trang trọng)

c/ Một bức thư hồi đáp, nên bắt đầu bằng “thank you”..

4. Main Point - Nội dung chính

Phần này đề cập tới nội dung chính bạn muốn gửi tới người nhận, tiếp theo phần lý do viết thư. Phần nội dung chính có thể chia theo một số dạng sau, bạn nên nhớ các cụm từ cần thiết để khi viết thư cho tiết kiệm thời gian nhé.

Dạng 1: Referring to previous matters (Đề cập đến các vấn đề đã trao đổi trước đó)

Dạng 2: Making a request (Yêu cầu)

Dạng 3: Giving good news (Thông báo tin tốt)

Dạng 4: Giving bad news (Thông báo tin xấu)

Dạng 5: Complaining (Phàn nàn)

Dạng 6: Apologizing (Xin lỗi)

Dạng 7: Orders (Đặt hàng/hủy hàng/nhận đơn đặt hàng)

Dạng 8: Prices (Gía cả)

Ngoài ra còn nhiều dạng main point khác, tùy vào nội dung bạn viết thư về. Mình sẽ tiếp tục update nếu các bạn comment bên dưới nhé.

5. Concluding sentence - Kết thúc thư

Bạn có thể kết thúc thư bằng việc sử dụng một trong các cụm từ sau tùy tình huống:

Trường hợp thân mật:

Trường hợp trang trọng (đã đề cập tên trong phần chào hỏi - Dear Mr, Mrs,Ms…)

Trường hợp trang trọng (chưa đề cập tên trong phần chào hỏi - Dear Sir/Madam)

Các lưu ý khi viết email: 1. Không viết tắt: Phải viết đầy đủ I am, I will, I have seen, I do not, … không được viết I’m, I’ll, I don’t, I’ve seen

2. Không dùng từ thông tục, tiếng lóng, từ thân mật: wanna, kid, dad, mate, …

3. Không dùng động từ want cho ngôi thứ nhất, hãy dùng would like. Không dùng động từ should cho ngôi thứ 2 (đừng lên lớp khuyên bảo đối tác), chỉ dùng cho ngôi thứ nhất (xin lời khuyên). Dùng may hoặc could thay cho can, would thay cho will, …

4. Hãy lễ độ dù cho đang bực tức: dùng Dear ở đầu thư, và dùng please khi muốn yêu cầu

5. Hãy viết cho ngắn gọn, nhưng đủ ý. Câu văn cũng vậy, ngắn, không dùng câu phức với 3, 4 mệnh đề (complex sentense). Câu phải có đầy đủ thành phần chủ- vị và tân ngữ nếu có.

6. Hãy nhớ dùng và dùng chính xác các dấu chấm câu: chấm, chấm phẩy, phẩy, dấu hai chấm. Nếu 1 ý chính có nhiều ý phụ, dùng dấu gạch đầu dòng. Hạn chế dùng hoặc tuyệt đối không dùng dấu chấm than (!).

7. Tuyệt đối tránh: lỗi văn phạm, lỗi chính tả

8. Tránh lỗi ambiguity: câu, từ nhiều nghĩa, gây hiểu lầm. Dùng từ đơn giản, không dùng từ bác học.

9. Cuối thư: - Regards, Best Regards, Hai cách này dùng thông dụng trong nhiều tình huống. - Sincerely Yours, Dùng trong thư xin việc, thư khiếu nại, thư mời vì mang nghĩa “chân thành” - Faithfully Yours, Dùng trong thư trả lời của nhà cung cấp cho khách hàng, vì mang nghĩa “trung thành”.

4. Formal email of complaint (thư phàn nàn)

Dear Mrs Boswell, I wish to draw your attention to an issue we have with a recent order from yourselves (ref no. 34ED12QP). Not only was the delivery four days later than agreed, but when we tried to use the components, we found that 40% of them were damaged and basically useless.

As is normal, I spoke to your Customer Service Manager, Peter Taylor on this matter. I expected that you would replace the damaged components, but this has not been the case. When I last spoke to Peter, last week, he informed me that the components were undamaged when delivered to us and that it was our fault. To make matters worse, he has still not replied to an email I sent to him on Monday. Not very professional customer service.

As you are aware, we have been a customer of your company for over 5 years. The damaged components are severely impacting our production at the moment. We have orders which we can not send because of this problem with the components.

Although, I appreciate that you are all very busy. I believe that I am entitled toan explanation why Peter Taylor has not answered my email, and is refusing to replace the components.

Unless this issue is resolved promptly, then unfortunately, we will be forced to take further action.

I expect an email from yourself by 5pm today at the latest, to inform me how you are going to resolve this issue.

Dear Mr Smith, Further to your email of the 17th December 2009 regarding your order (ref no. 34ED12QP). First of all, please allow me to apologise for Peter Taylor not responding to your email. I can confirm that Peter has been on sick leave for the whole of this week. And although this explains the issue, it does not justify it.

It transpires that there was a miscommunication in his department and the person who should have been taking care of this issue, did not. I have already taken all the necessary measures to ensure that this does not happen again in the future.Thank you for bringing this matter to my attention.

With regards to the issues about your order, I have taken personal charge of them. First of all, let me apologise for the late delivery. We should have made you aware about the delay at the time.

Regarding the damaged components, I can confirm the following:

It is normal policy here that we do not accept liability for problems with components if we are not notified within 7 working days of delivery. And due to the fact that you did not notify us until after 15 working days of the delivery, the Customer Service Department followed procedure.

But as we view you as a valuable customer, and we have worked together for over five years, rest assured that I will sort out this issue as a matter of urgency. I have already spoken to the Production Director here and he will confirm tomorrow when we can send the replacement components to you. I will update you about the situation with the components by the end of tomorrow at the latest.

Could you please confirm if this is adequate?

I do hope that this situation has not damaged your confidence in working with us.
